Law Firm Experienced New Business Intake Specialist - Various Firm Locations

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an immediate opening for a Law Firm Experienced New Business Intake Specialist. This position reports directly to the New Business Intake Manager and will be part of the Revenue Services Department. The ideal candidate will have NBI Software experience, be extremely professional, possess exceptional communication, organizational and computer skills, have strong proficiencies in the Microsoft Office Suite, and the ability to work effectively within a group or independently. In addition, the candidate should be detail-oriented and able to multi-task and work well in a fast-paced environment. Candidate may reside in Atlanta, Baltimore, Charleston, Charlotte, Chattanooga, Columbia, Ft. Lauderdale, Johnson City, Knoxville, Orlando, Raleigh, or Tallahassee areas. The position is remote other than in office work days on the 2nd and 4th mandatory Wednesdays of each month.

Essential duties and responsibilities will include:

    1. Performing functions leading to the production of conflict reports, client-matter openings, and edits
    2. Creating client-matter numbers, producing conflict reports to be distributed to the Centralized Conflicts Review Department
    3. Processing conflict reports for all potential new hires
    4. Reviewing client engagement letters
    5. Maintaining firm databases by entering, updating, and retrieving data
    6. Creating Excel spreadsheets for importing client-matter information and conflict parties
    7. Adhering to departmental policies and procedures are
    8. Research and answer questions for internal clients
    9. Handle other job-related duties including special projects as assigned by the New Business Intake Manager or Director of Revenue Services

Position

As the CSG Executive Coordinator, you will work closely with the Chief Client Solutions Officer and Senior Director of Client Solutions and Innovation. The CSG Executive Coordinator proactively filters and attends to the daily operations functions of the CSG leadership team so that they can focus on building, maintaining, and servicing solutions for internal and external clients. This role serves as a consultant for the leadership team, connecting departments, projects, and critical business information to the Chief and Senior Director, ensuring meetings and materials are efficient and effective, and serving as a trusted advisor to help deliver against the priorities of the CSG and internal and external clients.

Key Responsibilities. Key responsibilities include, but are not limited to:

  • Team and Meeting Operations.
    • Oversee select calendars and coordinate meetings, teleconferences, travel, and accommodations.
    • Triage and redirect incoming requests, prioritizing time, and ensuring focus on sensitive items.
    • Attend key meetings as needed and provide summaries, action items, and take aways.
    • Prepare, process, and follow-through with invoices, expense reports, and related financial documentation through Chrome River or other similar systems.
  • Strategic Execution and Operational Efficiency
    • Maintain CSG strategic calendar and operational documents, including guidelines and checklists.
    • Maintain strategic planning matrices, including assembling reports and updates tracking progress against the same, and communicating with team to ensure effective updates and follow-through.
    • Support and, as appropriate, independently oversee special projects and requests leveraging an understanding of law firm business services, including liaising with personnel responsible for pricing and financial terms, billing and timekeeping, new business intake and conflict clearances, and marketing and business development efforts.
  • Communication and Information Oversight.
    • Draft internal and external communications, including emails.
    • Organize, maintain, and manage resource repositories, including document resources, such as presentations, and electronic templates and files.
    • Prepare legal operational documents, including charts, visualizations, templates and other materials and compile other deliverables as needed.
    • Build presentations, briefings and prep materials, applying analytical thinking to ensure clear, compelling content.

  • Bachelor’s degree or higher, preferably in a relevant field

Position

The Legal Process Engineer (LPE) of Pricing serves a strategic bridge between attorneys and cross-functional teams, orchestrating projects that drive efficiency and elevate client service. Leveraging expertise in project management, process improvement, and data-driven insight, the LPE designs and implements innovative budgeting and pricing solutions that shape the firm’s client engagements. The LPE collaborates directly with practice leaders and attorneys to uncover operational needs, craft forward-thinking proposals, and champion best practices that redefine how the firm delivers legal value. Empowered to act autonomously and proactively, the LPE owns the lifecycle of CSG pricing initiatives, from ideation through execution, while cultivating a culture of continuous improvement across the firm.   • Client Solutions Group Coordination
    • Become an operational cornerstone for clients’ Legal Operations teams by developing financial tools to track budgets, monitor matters and portfolios, and seamlessly coordinate with attorneys so matters moves forward with economic clarity, speed, and confidence.

Position

The Legal Project Manager (LPM) partners closely with the Legal Process Engineering team and the firm’s attorneys to drive cutting-edge client portfolio implementations and ongoing management that power the Firm’s growth.  This position will report to a Director – Legal Process Engineer on the CSG team. Leveraging exceptional project management acumen, the LPM orchestrates a variety of high-impact initiatives, including legal operations optimization, knowledge management advancements, innovation pilots, process improvements, and the rollout of matter-collaboration technologies, delivering measurable value to attorneys and clients alike. In this role, the LPM captures and analyzes key data, distills actionable insights, and presents concise updates that inform strategic decision-making across client portfolios.

  • Portfolio and Project Management
    • Develop deep expertise in the Firm’s project management methods, both general best practices and our BakerManage approach.
    • Help build and roll out collaboration and case-management tools (e.g., MS 365, SharePoint, HighQ).
    • Gather requirements, draft statements of work, set up matter management platforms, train users, and provide ongoing support.
    • Collect project data, analyze results, and create client-facing reports.
    • Monitor client portfolios to enforce billing guidelines, track matter updates, generate reports, and manage budgets or pricing.
  • Process Improvement and Legal Operations
    • Learn and use proven process improvement and legal operations practices.
    • Help carry out process improvement projects for client portfolios.
    • Support clients’ day-to-day legal operations functions.
  • Client Solutions Group Coordination (Data Capture, Training & Practice)
    • Work with LPEs to carry out and capture institutional data hygiene responsibilities, including memorializing final pricing decisions and CSG projects and initiative metrics.
    • With LPE oversight, develop content and presentations focusing on CSG programs and solutions for use in RFP responses and internal and external trainings.
    • Conduct portfolio management trainings with a focus on technologies, reporting, and tools.

Experience and Knowledge

Graphic Design Specialist - Any Office Location

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an immediate opening for a Graphic Design Specialist. This position may be based at any office location within the Firm’s footprint.

This position reports to the Firm's Senior Public Relations Manager and is responsible for supporting and collaborating with members of the Marketing and Business Development (MBD) Department, Firm leadership, and business services teams in the development, implementation, and delivery of graphic design elements of market-facing materials. Essential functions are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Providing graphic design service for print and electronic market-facing materials, including:
    • materials for client pitches and RFPs, such as pitch covers, PowerPoint slides, tailored team sheets, and one-pagers
    • brochures and one-pagers for practice groups, industry service teams, and centers of excellence
    • events materials, such as digital invitations, signage, agendas, banners, handouts, PowerPoint presentations, and nametags
    • templates and individual graphics elements such as maps, infographics, icons, and attorney digital signature files
    • graphics for use on the Firm's external website and social media accounts
    • sponsorship ads
    • the Firm's annual holiday ecard for clients and other Firm contacts
  2. Providing graphic design support to Firm leadership, business services teams, Firm committees and initiatives, and office administrators for internal Firm campaigns and projects
  3. Administration of the Firm's Digital Asset Management platform and graphics assets, including Firm logos and original and stock photography
  4. Management of all attorney and employee photos, including:
    • managing relationships with photographers across the Firm's footprint
    • researching new photographers for new office locations and remote attorneys and professionals
    • maintaining the attorney and employee photo database
    • adapting photos to specifications needed for internal and external websites
    • uploading attorney photos for bios on the Firm's external website
  5. Ensuring all market-facing materials are consistent with the Firm's brand identity and with design best practices
  6. Overseeing the ordering of Firm stationery (business cards, letterhead, envelopes, note cards, etc.)

 KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED 

  1. Proficiency in Adobe Creative Cloud, especially InDesign, Illustrator, Photoshop, and Acrobat
  2. Proficiency in Microsoft Office 365, especially PowerPoint, Word, Outlook, and Teams
  3. Proficiency in Canva
  4. Proficiency in Canto or comparable digital asset management (DAM) platform
  5. Basic knowledge in Windows 11
  6. Excellent organizational and project management skills
  7. Superior attention to detail along with ability to multi-task and work within multiple deadlines
  8. Ability to communicate effectively and establish credibility with professionals at all levels of the Firm, including senior leadership

 EDUCATION AND WORK EXPERIENCE

 Bachelor's degree in fields relating to graphic design and/or three to seven years of experience in a graphic design role.
